Reconciliation System
Scope.
Our customer required a reconciliation system with the primary requirement being to monitor live data associated with the parts in their shipping lifecycle.
The problem the system assisted in automating was matching the various parts of one car together to form the entire car order as the parts could arrive in different shipments but belong to one car, the order could only be marked as complete once all the parts and process requirements had been met and reconciled by the system developed by S4. The system is required to track vehicle parts being moved in their Lifecycle stages namely shipped, shipped and received or shipped, received and paid.
Solution.
We delivered a system with the primary function of monitoring and reporting on the large amount of data transactions occurring while the shipped vehicles move through their various lifecycle stages. The system also flags issues in the cycle process on items that could not be matched, for example, a missing ASN number which leaves the car transaction incomplete.
The system handles this by sending a notification to the designated operator notifying then of the issue. Only users with the correct authorisation levels can make direct changes to the data and correct the issues, this is in place to maintain data integrity and security.
The system also stores full historical information on who made changes and what changes were made to data, this manages user accountability. The system comes with a full admin interface which allows selected users to manage and pull important reports instantly upon request.
